Presentation Guidelines

Poster Presentations

Posters should be no larger than 3'10" high (46 inches) and 3'10" (46 inches) wide. Two posters will be posted side by side on each 4' x 8' poster board that has 1" borders all around. Posters will be attached by Velcro tape or push pins. Please supply your own Velcro tape or push pins. Authors will be provided with a poster number and must mount the poster on the board with that number on the assigned day. Poster presentations will be mounted for the duration of the conference. Posters should be affixed to the poster boards between 9:00 and 11:00 p.m. on Tuesday, May 27 (after the Opening Reception) and removed between 6:30 and 9:00 p.m. on Thursday, May 29 (after the Closing Remarks). There will be no audio-visual capability in the poster presentation area.

Oral Presentations (Including Invited Speakers)

Contributed oral presentations will have a maximum time of 15 minutes (10 - 12 minutes for presentation and 3-5 minutes for questions). Session moderators will strictly follow the time limitations.

We will offer a digital projector as the only display device. The presentation room will have a PC laptop computer with Windows XP for projecting Microsoft PowerPoint presentations. Your PowerPoint presentation must be compatible with Microsoft Office XP. Please note the following PowerPoint suggestions:

Unless there is a compelling reason for exception, all presentations will be displayed on the provided laptop computer and digital projector. Authors are strongly discouraged from using their own laptops to avoid additional setup time that will cause delay in the program schedule.

Authors should bring their presentations on a Windows-readable 100MB or 250MB ZIP disk or CD-ROM. Macintosh users should use PC-formatted ZIP disks or CD-ROM disks written in ISO9660 format if possible. If you bring your presentation on CD-ROM, please ensure that it is in a standard format readable by any PC computer. If you use software such as Direct CD to copy files to your CD-ROM disks, be sure to close the disk and create a CD that is readable on standard CD-ROM drives. If you are unsure about your ZIP or CD-ROM format, try reading it on a PC computer in another laboratory or at home.

We want to ensure that all presentations are free from technical problems that will detract from the scientific content of the talk. For this reason, authors should bring their ZIP or CD-ROM to the Internet Room at the earliest possible time. We recommend checking in your presentation on Tuesday if possible. The Internet Room will be open Tuesday from 7:30 a.m. to 5:00 p.m. and from 9:00 p.m. to 11:00 p.m. In any event, authors must bring their talks to the Internet Room no later than two hours before their session.

We strongly recommend that, besides bringing your presentation on CD or ZIP, you also upload a copy of your PowerPoint presentation before coming to the conference. Uploaded files will be tested on the equipment we will use for the sessions. We will let you know if there are any problems. The deadline for presentation uploads is 12:00 noon (Hawaiian Standard Time) Monday May 26, 2003. After that time, presentations will only be accepted at the Conference Internet Room.
